What elements are involved in implementing batch management? In manufacturing enterprises, especially in process manufacturing industries, there are some raw materials, semi-finished products, and finished products that need to be managed by batch number. We collectively refer to them as item numbers. These item numbers have clear batch identification and are stored separately in warehouses and processing sites. At every stage of enterprise production and processing, both the item number and the batch number must be specified at the same time. The batch number and the item number are used together to confirm the product. This management method is called batch management. So what elements are involved in implementing batch management?

Elements of Batch Management Implementation:

1. Determination and Assignment of Batch Numbers

The time when a batch number is generated is when materials are received into storage after purchase or when products are put into storage after production. A batch number needs to be determined and assigned to that batch of items. The batch number can be generated automatically or entered manually. It can be a meaningless unique code or include simple date information, but it should not use complex coding rules to embed characteristic information of that batch into the number. For example, when goods are received from purchasing, the batch number should not contain supplier information, inspection information, and so on. When goods are received from production, the batch number should not contain information such as production team, processing personnel, or process quality information.

2. Characteristics of Batch Items

A batch number is a unique code containing very little information. Recording the batch number itself is not the ultimate goal. What is needed is to determine the specific attribute information of that batch of items through the batch number, such as who the supplier is, the delivery date, inspection records, the internal production unit, production personnel, the production date, and so on. The MES manufacturing execution system itself contains detailed batch characteristic information. In the MES system, different types of transaction records are used to represent various businesses. These transaction records become the carriers of enterprise business information and contain the most detailed characteristic information. For example, purchasing records include supplier, delivery date, supplier product batch number, quality certification documents, and more, while production records include the batch numbers of materials used, production date, production team, production personnel, process inspection data, and more.

3. Determination of Outbound Batches

For items managed by batch, there is the question of which batch should be issued when they leave storage. The system should support searching batch numbers that meet specified conditions. By setting usage strategies, such as first in, first out or supplier-based selection, some batch number lookup rules can be configured. When goods are issued, the outbound batch number should be determined according to the rules, and manual input should also be allowed.

4. Establishment of Batch Records

A batch number goes through a process of being generated at inbound storage, stored in the warehouse, and used when goods leave storage. In order to support batch traceability, a kind of batch record data needs to be established to reflect the source and destination of the batch and facilitate later traceability analysis. When purchasing inbound or production inbound generates a new batch number, the corresponding relationship between the newly generated batch number and the source business should be recorded in the batch record. When materials are issued for production or sold and shipped to customers, the corresponding relationship between the used batch number and the destination business should be recorded in the batch record. Batch records should be generated automatically along with the creation of MES transaction data.

5. Batch Traceability Analysis

Based on the batch record, batch traceability analysis can be carried out in both top-down and bottom-up ways, also known as forward and reverse traceability. When a product sold to a customer is found to have a quality issue, the sales record can be used to identify the batch number of the product shipped to that customer. That product batch number can then be used to find the production record of the batch in the batch record, and from the production record, the batch record can be used to identify which batches of materials were used. The material batch numbers can then be traced back to the purchasing record, and the supplier can be identified from the purchasing record.

When a certain batch of materials has a quality issue, the batch record can likewise be used to identify which products the batch of materials was used in and which customers those products were sold to.
